Configuring Products Import Or Export

The import functionality allows you to import your new products in bulk. It speeds up the initial setup and bulk updates. It's recommended to use it when:

  • importing your first products in Troly
  • updating 10 or more products
  • changing many products information at once

Import new products in Troly

Before you get started

To ensure the data is correctly formatted, we will review your CSV file and will take care of importing your list of products to your account within 48 hours.

Download the template CSV file

To start importing your product list from the Products page, click the Import button, and click the sample CSV template link to download it.

Open your CSV template file in a spreadsheet

To open your CSV file in a spreadsheet, please follow the steps below:

  1. Download the CSV file to your computer. If you click the link from a Google Chrome browser, you'll see the file appearing at the bottom of your browser, or if you go to your 'Download' area in Chrome.
  2. Open a blank new Google Sheet and click File > Import. Click the 'Upload' tab and select the CSV file you just downloaded (or drag and drop it from the bottom of your browser page).
  3. Select your preferred 'Import location' (don't change the rest of the default settings) and click 'Import data'.

Products CSV template columns explanation

Note that if you've copied/pasted information from a web page or from a formatted word document, some other type of special characters may have been added into your spreadsheet (like html code such as <h4>, </div>, etc.). Just to be safe, in your spreadsheet, you may 'select all' and then click Format > Number > Plain Text to remove any html formatting before importing your list (or, manually type your product information in the spreadsheet).

Stock at Location 1, 2, 3, 4, 5 Recommended  Stock available at up to five different locations. The numbers match the order listed in the Product 'Pricing & Stock' page or in the Stock control Add-on
Image URL  Recommended You can provide an image URL for your products (approx. 260 by 740 pixels). It must be stored on the web and publicly available

Fill all the columns that are relevant to your products, save the file on your computer as a CSV file and send it to us as an attachment via Live Chat or to [email protected]

More details about the category column

The type of categories that you choose to group and identify your products determines the way your pie charts are displayed on the main product dashboard.

Categories are also used for reporting and accounting purposes as they appear in your Troly and Xero reports.

Some wineries choose to categorise their product by type (e.g. red, white, sparkling, dessert), by label (e.g. entry level, winemaker or premium) or by vintage (e.g. Verdelho, Pinot, Shiraz). As such, it's up to you to find the best categories for your business needs.

Add specific club prices

You can include additional columns to the CSV template to list the product price for your different clubs. Each club has to be entered in a separate column exactly as it appears in Troly (this is case sensitive! "Silver" is different from "silver") followed by the price per unit.

If you wish to add information that isn't already included in the spreadsheet (e.g. product or custom tags), please contact us so we can assist you accordingly.

Exporting Products and Bulk Updates

If you need to make several changes or bulk updates (e.g. new price range or discounts) to existing products, the Export functionality will allow you to export your list of product in a CSV file. From there, you can make the necessary updates in the file, and re-import your list within minutes in Troly.

To do so, go to the Product page and click Export to download a CSV file with all your products.

To open your CSV file in a spreadsheet, please follow the steps below:

  1. Download the CSV file to your computer. If you click the link from a Google Chrome browser, you'll see the file appearing at the bottom of your browser, or if you go to your 'Download' area in Chrome.

File columns explanation

Column name Description
p.id Product ID created by Troly during the first import
p.name Product name as it appears in Troly
p.product.number Your SKU or Stock Keeping Unit used by your business (if any)
p.tagline A short, catchy wine description used on the TE
p.description Generic product description used on the TE
p.tasting Wine characteristics description used on the TE
p.foods Food pairing recommendations
p.cellar_until Wine drinking and cellar window
